The Wedding Weekend Dinners Nobody Plans Until Too Late

There are usually three, not one

A wedding weekend with out-of-town guests generally involves a welcome gathering on Friday, the rehearsal dinner, and something on Sunday morning before people fly out. Couples plan the rehearsal dinner and improvise the other two, which is how you end up with forty people in a restaurant that took a fifteen-person reservation.

Decide early which of the three actually matter to you. It is completely reasonable for the answer to be one.

Why home usually beats a second venue

For anything under about eighty guests, a house is the better room. It is quieter, so people can actually talk. It has no hard end time. There is no minimum spend and no second venue fee. And crucially, guests are not being moved through another unfamiliar space the night before a long day.

If the wedding itself is at a club that handles its own catering — Seville, for instance — the residence side of the weekend is where you have any freedom at all over the food. Use it.

The welcome dinner is the one that pays off

It is the only event of the weekend where the couple can actually talk to people. At the wedding they will not manage more than a minute per table. Keep the welcome dinner deliberately loose — stations or family-style rather than plated — so nobody is anchored to a seat.

Brunch, honestly

Sunday brunch has the highest cancellation rate of anything in the weekend, because people book flights before they know how Saturday will end. Plan it for a flexible headcount, keep it simple, and pick a caterer who will not charge you for forty when twenty-five show up.

One caterer, three events

Using the same kitchen across the weekend is worth more than the small discount you might negotiate. They already know the property, the access, the dietary list and who matters. By Sunday they are not asking any questions at all.
